Privacy notice

For doctors who chose the VMed.Pro seal on a partner platform such as doctonex, and for visitors of this website · Version of November 2026

In brief

  • We only receive your data if you gave your consent on doctonex.
  • We verify your profile and award the VMed.Pro seal. We also use the data for research and new services for international doctors and inform you about new projects.
  • We do not place you in jobs and do not pass on your data to third parties without your separate consent.
  • Your data is stored on servers in Germany.
  • You can withdraw your consent at any time. We then delete your data within 30 days.

1. Who is responsible?

VMed.Pro AG (in formation), Feldstrasse 5, 8853 Lachen SZ, Switzerland. E-mail: info@doctonex.de. Registration in the commercial register of the Canton of Schwyz has been applied for.

Representative in the EU (Art. 27 GDPR): DoctoNex GmbH i. G., Oberlindau 5, 60323 Frankfurt am Main, Germany, e-mail: info@doctonex.de.

We are responsible for processing your data ourselves. DoctoNex GmbH is responsible for its own processing on doctonex; its privacy policy applies to that (doctonex.de/en/privacy).

2. This website

This website uses no cookies, no analytics tools and no third-party content. Fonts are served from our own server.

When you visit, our server stores technically necessary data (IP address, time, page requested, browser) in log files to operate the website securely. The legal basis is our legitimate interest in secure operation (Art. 6(1)(f) GDPR). We delete the logs after 14 days.

If you write to us by e-mail, we use your details only to answer your request. Contact: info@doctonex.de.

3. Where your data comes from

DoctoNex GmbH sends us your data from the doctonex platform after you ticked “Ja, ich möchte das VMed.Pro-Siegel” (“Yes, I want the VMed.Pro seal”) there. Without this tick we receive nothing.

4. Which data we process

  • Master data: name, date of birth, nationality
  • Contact data: e-mail address, phone number if provided
  • Profile details: studies, specialty, work experience, language level, preferred federal state, status of your recognition procedure
  • Documents you uploaded on doctonex, for example diplomas, certificates, register entries, language certificates, decisions of authorities, CV
  • Verification notes and seals we create for them

We do not receive the police certificate or the medical certificate.

5. What we use your data for

a) Verification and VMed.Pro seal. We check your details and documents against our verification standard, for example whether they are complete and consistent. For verified details we award the VMed.Pro seal. You and the institutions see the result on doctonex: what was verified, on which date and with which source. The seal is not a grade, not a guarantee and not a statement on your professional or personal suitability.

b) Research and new services. We use your data for research and for developing new services around the path of international doctors to Germany: recognition, language, labour market and specialist training, also with methods of artificial intelligence. For this we replace your name and contact details with an identifier (pseudonymisation). We publish results only in anonymous form, without any link to you.

c) Information about new projects. We may inform you by e-mail about new projects of VMed.Pro and ask you for a further consent where needed.

We may freely use anonymous analyses without any link to you; they are not personal data. We do not place you in jobs, do not approach institutions on your behalf and do not sell your data. For any other use we ask you separately beforehand.

6. Legal basis

The legal basis is your consent (Art. 6(1)(a) GDPR; Art. 6 and 31 of the Swiss Data Protection Act, FADP). Consent is voluntary. You can use doctonex fully without it; you just do not receive a VMed.Pro seal.

7. How we verify: staff, software and AI

We verify with our own staff, with software or with AI agents, also combined. If a result is produced automatically, you can ask for a human to review it, state your point of view and contest the result (Art. 22(3) GDPR, Art. 21 FADP). Write to info@doctonex.de.

8. Who receives your data

  • Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany: hosting in data centres in Germany, as our processor (Art. 28 GDPR).
  • Providers of AI models: we currently use no external AI providers. Before we do, we conclude a data processing agreement, exclude training with your data and name the provider here.
  • DoctoNex GmbH: receives the verification notes and shows the seal in your profile on doctonex.
  • Authorities and issuing bodies, for example medical chambers or universities: only if you gave us a separate power of attorney.

9. Where your data is stored

Your data is stored on servers of Hetzner Online GmbH in Germany, separate from the systems of doctonex. Our seat is in Switzerland. The EU Commission has an adequacy decision for Switzerland (Art. 45 GDPR); Swiss data protection law protects your data to an equivalent level.

10. How long we store your data

We store your data as long as your consent exists. There is no fixed period. If you withdraw, we delete your data without delay, at the latest within 30 days, unless a law obliges us to keep it. Results that are already anonymous remain, because they have no link to you.

11. Withdrawal

You can withdraw your consent at any time with effect for the future: on doctonex under Einstellungen → Sichtbarkeit (Settings → Visibility) or by e-mail to info@doctonex.de. doctonex then stops sending data to us, we delete your data and the seal is removed. What happened until the withdrawal remains lawful.

12. Security

Only authorised persons with personal accounts and two-factor sign-in have access to your data. Data is encrypted in transit and at rest. Access to documents is logged. Local copies are not allowed.

13. Your rights

  • Access to your data (Art. 15 GDPR, Art. 25 FADP)
  • Rectification of incorrect data (Art. 16 GDPR, Art. 32 FADP)
  • Erasure (Art. 17 GDPR)
  • Restriction of processing (Art. 18 GDPR)
  • Data portability (Art. 20 GDPR, Art. 28 FADP)
  • Withdrawal of your consent (Art. 7(3) GDPR)
  • Human review of automatic results (section 7)

Write to info@doctonex.de. We answer within one month.

14. Complaints

You can complain to any data protection authority in the EU, in particular in the country where you live, for example the Hessian Commissioner for Data Protection and Freedom of Information. In Switzerland, the Federal Data Protection and Information Commissioner (FDPIC), Feldeggweg 1, 3003 Bern, is responsible.

15. Changes and languages

We update this notice when our processing or the law changes. For new purposes we ask you beforehand. This notice is available in German and English; the German version prevails.
